TITLE: Administrative Specialist
POSITION: Full-Time/ In-Person 
LOCATION: Gresham
SHIFT HOURS: (closing shift) Monday – Thursday (11am-7:30pm) Friday (9:30am-6pm)
SALARY: $20.16/hr. - $21.33/hr. (Bilingual Spanish : $21.86/hr. - $23.25/hr.)

Job Summary
The Administrative Specialist is responsible for performing multifaceted general administrative supports for Outpatient Clinic(s). 
About the Program: Outpatient Services  
Morrison Child and Family Services delivers specialized clinic-based outpatient services to children, ages birth through 18. At the core of our work is  a deep respect for the complexity of human nature and  human needs- we guide children and their families through difficult issues by creating tailored treatment plants to address individual needs and cultural background. Our programs recognize and respect cultural differences and support the growth of children and adolescents so that their ability to succeed in school and life is enhanced. 
Duties and Responsibilities
  • Assists with daily administrative operations of the clinic including but not limited to: opening and/or closing the clinic; scheduling clients; performs verification checks of client eligibility of insurance and authorization for services;  monitors clients and families who may have emotional and/or behavioral challenges in the waiting area/lobby; engages difficult clients in activities; communicates concerning behaviors with assigned therapist; assists with medical transport.  
  • Assists with administrative operations of client information including but not limited to: ensuring data entry in client electronic heath records (EHR) is accurate; client records are scanned into the accurate EHR section; client EHR is maintained and ready for appointments; ensuring pertinent ongoing forms and documentation is scanned and uploaded correctly into the client’s EHR; process records requests and subpoenas; order charts from storage facility.  
  • Perform administration functions including but not limited to: filing; photocopying; scanning; typing; faxing; data entry in multiple databases; recordkeeping; answering multi-lined phones; setting up and managing spreadsheets and databases; assisting with general word processing of letters, forms, reports, etc.; responds to commonly-asked questions or directs individuals to the necessary person.
  • Demonstrate a commitment to developing a thorough knowledge and application of the Sanctuary model and other organizational policies & practices.  
  • Participate in staff development, in-services, and training related to equity and inclusion in the workplace; model appropriate behaviors; develop, recommend, and implement improvements to business practices with awareness and understanding of the impact in a trauma-informed and culturally diverse organization.
Experience/Education Requirements
  • 1-year employment experience which demonstrates office experience 
  • Intermediate computer skills, Microsoft Office Suite, word processing, databases, spreadsheets, and email.
Other Requirements  
  • Pass a DHS criminal history background   
  • Must clear a language proficiency test if bilingual.
  Physical Requirements
  • Constantly operates a computer and other office equipment.  
  • The person in this position frequently communicates with staff and clients accurately and effectively.
